Job Description:
Our client, a national real estate operator, located in Boston,
MA, is seek a Temporary to Hire - Property Administrator, to assist
the Sr. Property Manager with all things tenant related. In this
role, you'll communicate often with tenants of the space,
coordinating housekeeping, exterminators, and other vendors they
may need at any given time as it relates to their suite/office
space. You'll track Certificates of Insurance (COIs), set up
vendors in their database, run sales reports, input & track work
orders. This role requires a warm personality, someone who likes
interacting with other professionals & who is great at keeping
everyone updated with the latest step in their transaction request.
This role can compensate up to $25-$30/hour on the contract side
(based on previous real estate experience), and between $50k-65k
once permanent.MINIMUM QUALIFICATIONS REQUIRED:Education and
Experience:A minimum of a high school diploma or GED.Experience in
administrative work is required, preferably for two years or
longer.Proficiency in personal computer applications is required
(Microsoft Word, Excel, and Outlook)Skill in composition and
editing of communications is required.ESSENTIAL JOB
FUNCTIONS:Receive tenant requests for service. Record and
communicate the details to appropriate property staff or dispatch
personnel to respond. Follow up to ensure task completion and
tenant satisfaction.Coordinate and assist with tenant move-in and
move-out.Coordinate and assist with new tenant receptions and
orientations.Assist in maintaining the tenant information manual
and be alert for the need for updates to ensure content is current
and correct.Answer phones. Respond to inquiries by providing
necessary assistance or referring visitors and callers to
appropriate staff member or venue.Coordinate production of tenant
signs, keys, and directory information.Prepare tenant contact lists
and keep them current and complete.Prepare and send advisory
notices to tenants as directed.Receive and respond to or forward
email and other communications.Procure, replenish, and neatly
maintain office supplies. Conduct periodic inventory.Ensure office
equipment is always serviceable. Arrange for replacement and repair
as necessary.Assist the management staff by sourcing and procuring
supplies and products as requested.Operate office machines.Manage
calendars and schedules for events and projects, as assigned.Assist
the property manager or other staff members in obtaining
certificates of insurance (COIs) from tenants and ensuring each
certificate is current and compliant with the underlying
