Uses various office software to produce reports, spreadsheets, presentations or other documents as needed. Requires knowledge of Institute policies and practices and may be required to interface with senior management, cross-organizations, internal and external customers and government and community officials which require considerable tact and diplomacy.

Responsibilities

Provides general administrative and project management support as follows:

  • Support the Office of Grants and Contracts with preparation of presentation materials, reports, other initiatives as assigned
  • Responsible for data integrity and reporting of certain data points
  • Responsible for scheduling and communication of large scale meetings, develop and maintain meeting minutes, track action items and issue logs
  • Process purchase orders, check requests, employee reimbursements and petty cash vouchers as needed
  • Coordinate visiting quests
  • Resolve day-to-day administrative problems
  • Assist with the onboarding of new staff members
  • Responsible for ordering supplies and maintain supply inventory
  • Prepares general correspondence, creates Excel spreadsheets, creates and updates PowerPoint presentations
  • Prepares monthly expense reports, performs Pcard reconciliations, processes requests for vendor payments
  • Manages the upkeep of G&C website. Coordinates content development with subject matter experts
  • Coordinate office moves, equipment needs, meeting schedules
  • Perform duties related to other special projects as required
  • Review and process Billing agreements
  • Manages shared mailboxes. Communicates issues promptly
  • Search for funding opportunities and draft funding opportunities newsletter
  • Other office coordination duties as required.

Qualifications

MINIMUM JOB QUALIFICATIONS:

Bachelor's degree preferred with a minimum of 1-2 years relevant experience working in a healthcare non-profit environment, research administration environment highly preferred or comparable technology-oriented business environment is preferred. Demonstrated ability to draft correspondence and have exemplary oral and written communication skills. Advanced computer skills preferred. Goal oriented with a certain degree of creativity and latitude preferred.

  • Knowledgeable of computer applications including Microsoft Office, Microsoft Outlook, and Excel, PowerPoint

  • Strong project management skills
  • Ability to meet deadlines
  • Self-motivated
