Job Description:
The Clinic Administrative Manager supports and manages
administrative, compliance and health information for Joslin's
clinics, including the BIDMC licensed clinic, the Beetham Eye
Institute and the Pediatrics Clinic.The Clinic Administrative
Manager (CAM) works closely with operational leaders of the clinics
and BIDMC as well as the Finance team to assure efficient clinic
operations. The CAM develops and maintains efficient systems to
support operations, including purchasing, contracts, and provider
support systems.The Clinic Administrative Manager oversee and/or
acts as liaison with BIDMC for all accreditation and recognition
programs and clinic compliance.Responsibilities:Create and manages
well-organized systems for equipment and service purchasing for
clinics, working closely with vendors and contractors and managing
contracts.Manage systems and vendors to assure equipment servicing
and maintenance are properly and timely scheduled. Support and
coordinate supply ordering.Coordinating with Finance department to
assure invoicing and payment of contracted services.Coordinating
compliance activities for all Joslin clinics, such as licensure,
credentialing, and audits. Work closely with BIDMC to support JCHAO
and DPH accreditation and with Joslin managers overseeing NCQA,
PCMH and other accreditations and recognition programs.Working
closely with BILPHN, BIDCO, NEBH, Children's Hospital and MEE, act
as key contact and coordinator for clinician credentialing and
privileges, assuring appropriate documentation is supplied and
maintaining tracking systems. Coordinate with Malpractice vendor to
onboard and off-board providers.Oversee risk and safety reporting
functions for incident reporting.Supervise the HIM function.
Coordinate with BIDMC for HIM requirements for licensed clinic.
Assure efficient workflows for all incoming and outgoing documents.
Partner with IT on developing efficient workflows for document
management within the electronic health record and the IT
network.Coordinate with BILH and BIDMC to provide patient data to
support delivery and collection of Patient Satisfaction
surveys.Oversee data collection and reporting for Joslin incentive
program for clinicians, collecting and providing reports. Support
clinician payroll processing for contracted services.Other duties
as assigned.Qualifications:Bachelor's Degree preferred or
equivalent work experience.Minimum of 5 years progressive
administrative experience in a health care settingMinimum 2 years
of experience in a management/supervisory roleHealth Information
Management experience preferred.Health care compliance experience
preferred.Project management experience with proven track record of
leading complex projects to successful completion.Experience using
documentation and project management software tools.Experience in
planning organizing, and prioritizing as well as allocating
resources and managing multiple ongoing, concurrent
projects.Proficiency with Microsoft Office Suite; and Health
Information Management/Practice Management SystemsSupervisory and
leadership experience with demonstrated competence in change
management, team building, and problem solvingExcellent oral and
written presentation skillsExcellent time management and
organizational skillsMust demonstrate a capacity for independent
functioning, creativity, and objectivityAbility to operate in a
matrix environment and manage priorities for multiple
leaders/partnersSkilled at developing and managing systems of
document management that are transparent and efficient.Ability to
manage multiple, competing priorities.Ability to work independently
