Job Description:
In addition to the responsibilities of a Medical Office
Coordinator (MOC), with the direction from the Practice Manager,
the Supervisor, Medical Office Coordinators is accountable for the
day-to-day supervision of MOCs in patient care units. This is
responsible for assessing, monitoring, and evaluating the needs of
the MOC team. Provides support to physicians and allied health
professionals within a busy ambulatory setting and to ensure
efficient operations by providing excellent customer service to
patients, other staff members, and external parties. Participates
in the interviewing, hiring and training of medical office
coordinators. Serves as back up to Practice Manager. Prepares
reports as requested to assist in management of the department.
Coordinates schedule requests, approves MOC time and attendance.
Assists in the review and development of orientation materials and
training and participates in continuous quality improvement
activities. ResponsibilitiesAdministrative
Responsibilities:Responsible for documenting procedures, hiring and
training, monitoring staff productivity, and developing initiatives
toward enhancing job performance.Coordinate staff scheduling
requests.Coordinate new staff orientation and provide ongoing
mentorship for new staff.Facilitate continuous quality improvement
for office procedures through observation, data collection and
metric reports.Other duties as assigned. General MOC
Responsibilities:Effectively manage the flow of medical information
internally and externally.Patiently act as liaison between patient
and health care providers and external patient related
providers.Accurately follow guidelines to triage all incoming calls
taking independent action where possible.Accurately enter
information into automated registration and scheduling
system.Efficiently schedule ancillary diagnostic and consultative
appointments as requested.Participate in issue-specific groups upon
assignment. Report back any issues that affect or require a team
decision.Other duties as assigned.QualificationsAssociate's degree
in a relevant field or equivalent work experienceMinimum 3 years of
experience in medical office/reception setting or other customer
service oriented positionMinimum 2 years of experience as a Team
lead or in a supervisory roleProficient with Microsoft Office
SuiteExperience with automated medical record and
registration/scheduling systemsKnowledge of managed care and
insurance requirementsSupervisory experience with demonstrated
competence in change management, team building, and problem solving
preferredDemonstrated solid interpersonal skills for effective
collaboration with other department leads - must be comfortable
delegatingDemonstrated competency and professional responsibility
to effectively supervise staff with strong knowledge of practice
operations.Demonstrated ability to learn new tasks and procedures,
e.g. clinical programs offered at Joslin and advanced automated
telephone systemsMust demonstrate a capacity for independent
functioning, creativity, and objectivityExcellent oral and written
presentation skillsExcellent time management and organizational
skillsOutstanding customer service skillsAbility to work well under
normal pressure of busy office setting, deadlines, and changes in
workload.Effective organizational and problem-solving skills to
