Summary

Reporting to the Director of Operations, the primary focus of this position is to oversee the Patient Services Team and ensure the efficient flow of daily clinics and maximum patient satisfaction. Assuming administrative tasks and managing cashflow accuracy at the reception desks. Leading orientation, training, support and direction of Patient Services staff. Careful monitoring of current processes, policies and practices will be essential for compliance and potential modifications as necessary.

Essential Functions

  • Leads by example in professionalism, patient satisfaction and team cohesion
  • Ensures thorough and consistent training and direction of all members of Patient Services team through consistent presence in patient areas
  • Collaborates with other key supervisors at location Clinical Manager, Director of Operations, etc
  • Monitors financial transactions to ensure maximum and accurate collection at the reception desks including balancing batches and reviewing appropriate reports
  • Deposit cash and checks, as needed
  • Oversee daily reporting to ensure accurate scheduling, billing and following of Doctors orders
  • Maintains familiarity with all types of medical and vision insurance to ensure office is current on latest updates and/or changes
  • Assists with patient billing questions and other concerns, and/or guides them to appropriate resources for further information, guidance or assistance
  • Assists patients, patients families, referring physicians and third-party carriers to resolve patient-related issues
  • Maintains an intimate understanding of the billing, scheduling, and reporting functions of the computer system and demonstrates efficiency of use
  • Manages clinic schedules for best efficiency, use of resources and optimum patient experience
  • Implements and evaluates processes for continuous improvement.
  • Manage employee scheduling, payroll and time-off requests for Patient Services Team
  • Collaborates in recruiting, hiring, orientation, development and evaluation of clerical and clinical staff
  • Manage orientation, development and evaluation of team including performance reviews and disciplinary, as necessary
  • Provides assistance in any area when support staff is unavailable or absent
  • Oversees and approves office supply inventory and coordinates the servicing of office equipment
  • Other duties as assigned

      Work Environment

      This role operates in a professional medical office environment routinely using standard office and clinical equipment such as computers, telephones and testing equipment.

      Physical Demands

      This role requires periods of time sitting at a desk using office equipment as well as moving around the office meeting with, and training, Physicians and staff.

      Position Type and Expected Hours of Work

      This is a full-time, exempt position. Days and hours of work vary according to the business demands.

      Travel

      Our organization has locations in Brookline, Wellesley, Medford, Milford and Lawrence. Although this position is be based in Brookline, travel may be involved as is necessary.

      Required Education And Experience

      At least 3 years related experience

      Work Authorization

      All employees must be already authorized to work in the USA
